The boundary between HatuaBid’s AI assistance and the bidder’s professional judgement and final responsibility.

1. HatuaBid is an assistant

HatuaBid is an AI-assisted tender assessment, compliance and preparation system. It helps locate requirements, organise evidence, identify possible risks and prepare working outputs. It is not the procuring entity, a lawyer, an auditor, a financial adviser or a substitute for an experienced tender professional.

2. AI output can be wrong

AI may misread a table, scanned page, spreadsheet, clause, amendment or cross-reference. It may omit information or infer a meaning that the procuring entity did not intend. Page and clause references are provided to support verification, not to remove the need for verification.

3. Source documents control

The official tender documents, notices, addenda, extensions, clarifications and procuring-entity instructions always take priority over a HatuaBid output. A missing or unreadable document is an evidence gap, not proof that a requirement does not exist.

4. Human-confirmed matters

  • Eligibility and statutory status.
  • Technical claims, methodology, personnel and experience evidence.
  • Prices, taxes, currencies, calculations and commercial assumptions.
  • Forms, signatures, initials, stamps, witnesses and powers of attorney.
  • Original bid securities and any document that may not be accepted as a scan.
  • Pagination, packaging, portal upload, physical delivery and final submission.

5. No guarantee of award

HatuaBid does not guarantee that a bid will be responsive, pass evaluation or win. Competition, evaluation judgement, budget, technical merit, pricing, market conditions, lobbying and procurement decisions remain outside HatuaBid’s control.

6. Final bidder decision

The bidder remains responsible for the bid / no-bid decision and the final submission. Before acting on any assessment, an authorised user must review the source evidence, resolve material conflicts and confirm that the submission is complete and accurate.
